# Workspaces and companies

A workspace is the account: people, the credit pool, and billing. A company is one set of books. Invoices, vendors, bank statements, accounting connections, reminder rules, and API keys stay inside that company.

The address bar is `/c/:slug/...`, for example `/c/kopi-corner/bills`. A shared link opens that company even when it is not the one you used last.

## Switch companies

The sidebar lists every company you can open, with your role under the name and a colored initial. Press Cmd+K or Ctrl+K to focus the list. When there are more than eight companies, type in the search box. The search stays inside the sidebar.

**All companies** appears when you can open two or more. It opens `/c/all/...`. Lists there include a Company column with that colored initial. Choosing a row opens `/c/:slug/...` for that company. The dashboard shows one card per company. Export downloads one file, and every row has a Company column.

Bank statements and settings are not in All companies. Open a single company for those.

Approve or reject a bill, sales invoice, or claim from the merged list when your role in that company allows it. Changing fields stays on the company page.

Amounts on the all-companies dashboard are added together only when every included company uses the same base currency. Otherwise each card keeps its own total.

## Add a company

Workspace Owners and Admins use **Settings → Companies**. Add company is three steps on one page: legal details (legal name, registration number, tax id, currency, timezone), an accounting connection you can skip, and who gets access.

Archive hides a company from the switcher and from All companies, and stops its reminders and inbound filing. On **Settings → Companies**, the Owner restores an archived company, or deletes one by typing its legal name. Delete keeps the company for 30 days. If every company is archived, that same restore list is at `/archived-companies`.

## People and access

**Settings → People & access** is the grid of people, companies, and roles. Workspace Owners and Admins edit it. Custom roles created under Team appear in each cell. The person who creates a company becomes its Owner. The workspace Owner is Owner in every company. A workspace Admin who did not create that company stays Admin. Those Owner and Admin cells are not edited one company at a time.

Someone with a company link and no seat can ask for access. The request does not include any document.

One login belongs to one workspace. An email that already belongs to another workspace is not added here.

## Which company receives a document

An upload from the app is filed into the company in the address bar.

A document that arrives by WhatsApp, email, Meta, LINE, or Telegram is filed with no question in two cases only:

1. The sender can open exactly one company in that workspace.
2. The buyer registration number on the document matches exactly one company the sender can open.

A match on the buyer name, a similar legal name, or a registration number in a company the sender cannot open does not file the bill. Those can preselect an answer on the “Which company?” question. A reply chooses a number from the list that was sent. It cannot pick a company that was not on that list.

If nobody answers within 24 hours, the document stays unassigned. Workspace Owners and Admins see it under Unassigned in the app. That inbox is separate from the platform operator inbox.

## Credit caps

Credits are one pool for the workspace. **Settings → Billing & credits** shows usage grouped by company for the current UTC month, so a firm can re-bill.

A company can have an optional monthly cap. Empty means no cap. The workspace Owner sets it. When the shared pool runs out, every company stops. When a company reaches its cap, only that company stops.
