# Telegram invoices

Suppliers or staff can submit invoices by messaging **SnapIt’s Telegram bot**. SnapIt identifies your workspace from the **Telegram chat** you linked in Settings.

**Supported attachments:** JPG, PNG, PDF. Private chats only. Files must be 20 MB or smaller.

## For senders

<Steps>
  <Step title="Open SnapIt’s bot">
    Message the bot shown in your workspace under **Settings → Telegram**.
  </Step>

  <Step title="Send from a linked chat">
    The private chat must be verified in that workspace first.
  </Step>

  <Step title="Send a photo or PDF">
    Attach a clear image or PDF of the invoice.
  </Step>

  <Step title="Wait for confirmation">
    Verification and unsupported-file responses are immediate. Linked invoice success and needs-review messages are asynchronous; linked chats do not receive an immediate receipt acknowledgement.
  </Step>
</Steps>

<Warning>
  If the chat is not linked to a workspace, SnapIt still accepts up to **5 invoices from that sender/chat**. The sixth is ignored. Accepted unknown-sender invoices receive a public view link and remain unassigned until a platform administrator assigns them or the chat is verified.
</Warning>

## For workspace owners

1. Open **Settings → Telegram**.
2. Click **Link Telegram** and copy the `SNAP-XXXX` code.
3. From the private chat, send that code to the bot.
4. Open **Invoices** — Telegram-sourced invoices appear alongside web uploads, WhatsApp, and email.

Credits still apply when a linked sender’s file is accepted for processing.

Adding, regenerating, or removing linked chats requires the workspace owner. A pending link is shown as **Waiting**, verification codes expire after **30 minutes**, and Settings polls until the link becomes **Verified**. Only private chats are processed; groups, channels, bot senders, and unsupported media are ignored.

Telegram files must be **20 MB or smaller**. The feature is disabled until `TELEGRAM_ENABLED`, the bot token, webhook secret, and webhook registration are configured by an operator.

## What you do not set up yourself

The bot token, webhook secret, and `setWebhook` call are **operator** steps.

<Note>
  **For operators:** Bot API setup and env vars (`TELEGRAM_*`) are documented in [`docs/telegram-setup.md`](https://github.com/shmoulana/ai-invoice/blob/main/docs/telegram-setup.md).
